Privacy Policy

Human Agency, Inc. (“Agency”) has updated this privacy policy effective August 6, 2024.

This Privacy Policy describes how Agency collects, uses, and discloses your information.

This Privacy Policy also explains your choices surrounding how we use your personal information, which include how you can object to certain uses of the information and how you can access and update certain information.

Here are some important definitions to help you understand our terms and this Privacy Policy:

Human Agency, Inc., and our relevant affiliates are referred to as “Agency,” “we,” “us,” and “our.”

Our public websites are referred to as the “Website.”

Our online software-as-service platform including any related APIs provided by Agency, together with all related mobile and desktop applications are collectively referred to as the “Services.”

What We Do.

Welcome to Agency, a service provided by Human Agency, Inc. Agency is a tool that integrates with your zoom, email, calendar and slack to identify your tasks or to-dos and help you follow up on and complete them. Agency is a tool intended to be used by Business Customers. If one of our Business Customers provides you with access to the Services, there are a few points to keep in mind as you review this Privacy Policy:

Our business customers may impose certain restrictions on how we may process their users' personal data – for example, by limiting our marketing to that customer's users. Our Privacy Policy does not reflect these restrictions; they are governed by our Terms of Service and other agreements with the applicable business customer.

If you are a business user, you should contact the business customer directly to access, correct or request deletion of your personal data. If you contact Agency with a privacy request, we will refer your request to the business customer that provides you with access to the Service, and we will assist that business customer in responding to your request.

Information we collect

Directly Collected Information

Account Creation. When you create an account, you will be asked to provide your name, job title, email, and a password.

Your Communications with Us. When you communicate with us via email, or participate in surveys, we ask you to provide your email address and any Information you choose to provide to allow us to assist you.

Your User Content. We may also collect User Content, including content that you post, upload, or otherwise share or integrate with the Service. You may choose to integrate your Service account with certain third-party services, by opting to upload certain of your information (“User Content”) (such as your Gmail contacts,) into the Service. No such integrations happen by default; they must be initiated by you. If you choose to connect the Service with a third-party service, you give us permission to store your log-in credentials for that service and to access and use your information from that service as permitted by that service. For Agency, this includes email, calendar, slack and zoom. Each of these is discussed in detail below:

Email: Agency will access the email headers for all messages in your account, as well as email headers and message bodies for any email messages the Service composes for you and any subsequent correspondence in response to such email messages, which we will process solely to provide you with the Service. We will not use that data for marketing or advertising purposes. The use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy (https://developers.google.com/terms/api-services-user-data-policy), including the Limited User Requirements.

Your Calendar Events. Integrating your calendar with Agency requires you to authorize access to your calendar and events data held in your third party calendar service. Should you choose to authorize an integration with your calendar provider, we will store your userID for that calendar provider and the authorization token to connect to the calendar provider’s API to give you the ability to use Agency to store, view and edit data from your calendars, and autocomplete contacts when you create events. You may also choose to integrate Agency with your third party conferencing provider. Should you choose to authorize an integration with your conference provider, you will have the ability to add conferencing meetings to your calendar events, and to view and store any information associated with conferencing meeting invitations in Agency.

Slack. We will connect to your slack via a slackbot. This will permit us to have access to public channels and channels or group messages that we are invited to. When the app is installed,

Meeting Recordings. We recognize your conversations may contain some of your most sensitive and confidential information. That’s why we are committed to keeping your information private and secure. Additionally, we believe transparency is important to all meeting participants. As such, users are required to comply with local laws and regulations and must always ask for consent and indicate when they are recording and transcribing conversations with others. Agency starts recording only when you or a meeting participant presses Record or invites Agency to your meeting. When this happens, Agency’s AI technology enables it to record and transcribe automatically, and identify tasks and follow-ups. without any human interference. Your conversations are always private, accessible to only you and the people you choose to share with. When you use our Services to record or transcribe calls, we receive information about those calls, such as the date and time of the call and the parties’ names, attendee identifiers, and email addresses. We also receive the contents of the call including the call audio, video, and speaker identification. By using our Services to record or transcribe calls, you understand that your call will be recorded, and you agree to allow us to monitor and/or record your call. Please note that the contents of the call may also contain the personal information of other meeting participants, such as your co-workers or individuals from other organizations. Some states or countries require all parties to consent before recording a video or audio call — not just the consent of one party to the communication (i.e., yourself). Please make sure you have the necessary permissions from other meeting participants before sharing personal information with us.

Information Collected Automatically

Usage Data. We may also collect information that your browser sends whenever you visit our Service or when you access Service by or through a mobile device (“Usage Data”). This Usage Data may include information such as your computer's Internet Protocol address (e.g. IP address), browser type, browser version, the pages of our Service that you visit, the time and date of your visit, the time spent on those pages, unique device identifiers and other diagnostic data. When you access Service with a mobile device, this Usage Data may include information such as the type of mobile device you use, your mobile device unique ID, the IP address of your mobile device, your mobile operating system, the type of mobile Internet browser you use, unique device identifiers and other diagnostic data.

How We Share User Information

Third Parties You Elect to Share With. The Service allows you to communicate and share content with other Service users and outside third parties. The functionality of the Service will make it clear the scope of your sharing. Your information will be shared with such recipients. For more information on the licenses you grant to Agency with respect to sharing, please see our Terms of Service.

Our Own Service Providers. We may disclose information we collect about you to our third-party service providers. The categories of service providers to whom we entrust your information include service providers for: (i) the provision of the Services; (ii) the provision of information, products, and other services you have requested, including Non-Notion Services as that term is defined in the Agreement; (iii) marketing and advertising; (iv) payment and transaction processing; (v) customer service activities; (vi) the provision of IT and related services; and (vii) fraud prevention and user authentication.

With Your Consent. We may use personal information for other purposes that are clearly disclosed to you at the time you provide personal information or with your consent.

Business Transfers. We may choose to buy or sell all or substantially all of the assets of Human Agency, Inc. In these types of transactions, customer information is typically one of the business assets that would be transferred. Also, if we (or our assets) are acquired, or if we go out of business, enter bankruptcy, or go through some other change of control, your User Information could be one of the assets transferred to or acquired by a third party.

Protection of Agency and Others. We may access, preserve, and disclose any information we store in association with you to external parties if we, in good faith, believe doing so is required or appropriate to: (i) comply with law enforcement or national security requests and legal process, such as a court order or subpoena; (ii) protect your, our, or others’ rights, property, or safety; (iii) enforce our policies or contracts; (iv) collect amounts owed to us; or (v) assist with an investigation and prosecution of suspected or actual illegal activity.

Aggregate, de-identified, or anonymized Information. We may use de-identified and/or aggregated information that can no longer be reasonably linked to you or your device from the information we collect. De-identified and/or aggregated information is not subject to this Privacy Policy, and we may use and disclose such information in a number of ways, including research, internal analysis, analytics, and any other legally permissible purposes.

Access and Correction. Depending upon your location and in accordance with applicable laws, you may have the right to:

  • Access information about you consistent with legal requirements. In addition, you may have the right in some cases to receive or have your electronic information transferred to another party.
  • Request Correction of your information where it is inaccurate or incomplete.
  • Request Deletion of your information, subject to certain exceptions prescribed by law.
  • Request Restriction or Object to Processing of your information.
  • Not be Discriminated Against by us for exercising your privacy rights.

If you would like to exercise any of these rights, please contact us as set forth below. We will process such requests in accordance with applicable laws, and in some circumstances may need to deny your request in whole or in party (e.g., if we have a legal obligation to maintain your information for a certain purpose). To protect your privacy, we will take steps to verify your identity before fulfilling your request, such as by requiring you to submit your request via your account. You have the right to submit a request through an authorized agent, but we will require the agent to provide us with your written permission, and we may need to confirm your identity before processing the agent’s request.

Depending on your location of residence, you may have the right to appeal our response to your request. In such circumstances, we will inform you of the right to appeal and the appeal process.

How we use your information.

We use your information for a variety of business purposes, including to:

Provide the Services or Requested Information, such as:

  1. Fulfilling our contract with you;
  2. Identifying and communicating with you;
  3. Managing your information;
  4. Responding to questions, comments, and other requests;
  5. Providing access to certain areas, functionalities, and other features of our services; and
  6. Answering request for customer or technical support

Serve Administrative and Communication Purposes, such as:

  1. Pursuing legitimate interests, such as research and development (including marketing research), network and information security, and fraud prevention;
  2. Sending communications about new product features, promotions, Agency's strategic partners, and other news about Agency;
  3. Measuring interest and engagement in our Services, including analyzing your usage of the Services;
  4. Developing new products and services and improving the Services;
  5. Ensuring internal quality control and safety;
  6. Authenticating and verifying individual identities;
  7. Carrying out audits;
  8. Communicating with you about your account, activities on our Services and Privacy Policy changes;
  9. Preventing and prosecuting potentially prohibited or illegal activities;
  10. Enforcing our agreements; and
  11. Complying with our legal obligations.

Google User Data.

The use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy (https://developers.google.com/terms/api-services-user-data-policy), including the Limited User Requirements.

International Data Transfers.

All information processed by us may be transferred, processed, and stored anywhere in the world, including but not limited to, the United States or other countries, which may have data protection laws that are different from the laws where you live. When we engage in such transfers, we endeavor to safeguard your information consistent with the requirements of applicable laws.

Data Retention.

We store the information we receive as described in this Privacy Policy for as long as you use our Services or as necessary to fulfill the purpose(s) for which it was collected, provide our Services, resolve disputes, establish legal defenses, conduct audits, pursue legitimate business purposes, enforce our agreements, and comply with applicable laws.

Security of your information.

We take steps to ensure that your information is treated securely and in accordance with this Privacy Policy. Unfortunately, no system is 100% secure, and we cannot ensure or warrant the security of any information you provide to us. To the fullest extent permitted by applicable law, we do not accept liability for unauthorized disclosure.

By using the Services or providing information to us, you agree that we may communicate with you electronically regarding security, privacy, and administrative issues relating to your use of the Services. If we learn of a security system’s breach, we may attempt to notify you electronically by posting a notice on the Services, by mail or by sending an email to you.

Third-Party Websites/Applications.

The Services may contain links to other websites/applications and other websites/applications may reference or link to our Services. These third-party services are not controlled by us. We encourage our users to read the privacy policies of each website and application with which they interact. We do not endorse, screen or approve, and are not responsible for, the privacy practices or content of such other websites or applications. Visiting these other websites or applications is at your own risk.

Children’s Information.

Only persons who are age 18 or older have permission to access our Services. Our Services are not intended to be used by anyone under the age of 13 (“Children”). We do not knowingly collect personally identifiable information from children under 13. If you are a parent or guardian and you learn that your Children have provided us with Personal Information, please contact us. If we become aware that we have collected Personal Information from a child under age 13 without verification of parental consent, we take steps to remove that information from our servers.

Supervisory Authority

If you are located in the European Economic Area or the UK, you have the right to lodge a complaint with a supervisory authority if you believe our processing of your information violates applicable law.

Changes to Our Privacy Policy.

We will post any adjustments to the Privacy Policy on this page, and the revised version will be effective when it is posted. If we materially change the ways in which we use or share personal information previously collected from you through the Services, we will notify you through the Services, by email, or other communication.
